Information we collect

When you (or your employer) request our coaching services, we may collect this information:

• Identifying information: Name

• Contact information: email address(es), telephone number(s), mailing address(es)

• Work information: Job title, Company, Business area, Location

• Information regarding development needs and any personal analytical reports e.g. psychometric tests

• Records of your personal interactions with us, which may include notes from conversations, meetings or coaching sessions

• Records of communications you have received from us, including copies of letters, emails or marketing communications sent

• Dates of contact with you and dates and times of coaching sessions

• Your feedback on the quality of the coaching service

How we use your data

We use this information to communicate with you regarding our services. We may send you updates about our company and its services and topics that are of interest to our clients, by email, mail or telephone. Our newsletters contain an unsubscribe option and you can also request to be removed by contacting us using the contact details listed below. At the end of a coaching series we usually ask you to complete an evaluation form, inviting you to provide feedback on the coaching you have received. We may combine your comments with those of your colleagues (to provide anonymity) to provide your employer with information about their return on investment or themes that have arisen.

When and how we share your data

We may, from time to time, need to share your information with third parties working on our behalf, for example associate coaches. We only do this in appropriate circumstances, by secure means, and with the relevant appropriate data sharing agreement in place before sharing your personal data. We do not, and will not, sell your data.

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect. The information you provide is held within a secure environment that is protected by user authentication, to prevent unauthorised access.  This data is securely backed up within the UK.

How long we retain your information

We will retain your information on our system until it is more than five years since you received coaching services from us.  We will then anonymise any information we hold about you on our system, and permanently remove any data which might identify you.

Your rights

You have a number of rights in respect of your data:

• If we are processing data with your consent then you have the right to withdraw that consent without prejudice.

• If we are processing data because it is in our Legitimate Interest to do so then you have the right to require us to stop such processing.

• You have the right to request a copy of any data we hold about you or to request that we correct any incomplete or inaccurate data.

• You have right to request the transfer of your data to another party.
